OPERATIONS WITH A FUNDRAISER’S EYE

WHAT WE BUILD

Nine Systems. Three Groups.

Every engagement builds across three groups: People, Systems, and Guides. Inside them are the nine systems that hold up an organization, and most of the trouble we see lives in two or three of them at once. What you will not see here is a menu of packages. We start with what is in the way, then build what your team needs and nothing it does not.

People own the work.

A lot of operations trouble starts with people. Nobody is sure who owns the donor file. A new hire spends months learning what one person carried in their head. When someone leaves, the work walks out the door with them.

Arrivals

How a new person learns the job fast, from their first day to their first full month.

EXITS

How the work stays put when a person leaves, written down well before their last day.

Ownership

When everybody owns it, nobody does. We name who owns what, so nothing sits between two desks.

The hardest part of operations is usually who does what, not the tools. We write about first days, last days and the work that falls between desks.

Systems run the work.

No one loves their database. It has two jobs: give you reports you trust and keep a true record of every gift. When it cannot do those two things, your team works around it and the workarounds become the system.

CRM

Your constituent database cleaned up, set up, documented and trusted again.

PROJECT MANAGEMENT

One place where the work lives, with dates that tell you something.

AI WORKFLOWS

AI is an overeager intern. We give it clear jobs and clear limits, so it helps your team without making new messes.

A system should do its job without anyone working around it. We write about databases, project boards and AI that earn their place on your team.

Guides DOCUMENT the work.

If the work only lives in one person’s head, it is not a process yet. Guides write it down so the next person can pick it up and the board can see how it runs.

SOPs

Step-by-step guides your team uses, kept where they work.

REPORTING

We build reports the board trusts, pulled the same way every time.

CONTENT PLANNING

A plan for what you say and when, tied to your fundraising calendar.

Procedures, reports and plans only help if your team actually uses them. We write about how to build the ones that last.

SCOPE IT TOGETHER.

Every output is named, documented, and built to be run by your team. The specific output gets scoped in the first week of an engagement.
